What is ShareYourSpace?
Offices, desks, and conference rooms are usually not occupied 24/7 but remain, on average, unused up to 50% of the time. Due to vacancies, part-time work, out-of-office days, and simply too much space, there is an abundant supply of office space that is ready to be used.
ShareYourSpace is the platform for everyone who wants to offer or book this temporary office space. Whether you host a single desk, an office room, or an entire floor, furnished or unfurnished, private or coworking, we can help you make better use of your underutilised office space in a sustainable and profitable way.
What is Office Sharing?
Office sharing is when you or your team share offices, desks, conference rooms, or meeting space with other people or companies. By doing so, everyone benefits from lower costs, greater flexibility, and more demand-oriented space and work options. Of course, you can also offer and book private rooms and individual offices on ShareYourSpace.
The Sharing Economy stands for a more conscious, resource-saving pattern of demand: the collaborative, temporary consumption of resources (collaborative consumption). What distinguishes ShareYourSpace from other real estate platforms?
Traditional real estate platforms are concerned with the brokerage of offices with long-term rental contract obligations. Estate agents mainly arrange and publish the listings. The addresses of the offices can typically only be obtained from the estate agent. Office space advertisements are subject to a fee, and contacts are merely "mediated". Renting and leasing are handled independently from the platforms.
ShareYourSpace, on the other hand, focuses on bringing together suppliers and demanders of flexible and temporary office space. Both sides benefit from lower costs, flexibility and more demand-oriented space and work opportunities through the shared use of resources. Furthermore, the offers on ShareYourSpace are not from intermediaries, but directly from the owners and tenants who rent or sublet the space themselves. Besides, advertising on ShareYourSpace is free of charge. Renting and booking are done via ShareYourSpace. What distinguishes ShareYourSpace from coworking providers?
Providers of coworking spaces are usually the owners or managers of the spaces they offer. The business model consists of subletting this space primarily to people or companies who want to collaborate with others on the premises. Coworking spaces often charge tenants a surcharge for the infrastructure and additional services they offer. The concept of coworking space follows the logic of gathering as many paying customers as possible in the space. This is usually expensive (often several hundred euros per square metre per month) and is inevitably limited to a few locations in larger cities. Booking contracts typically have minimum terms and therefore allow no short-term rentals. In addition, the coworking manager alone determines who is allowed to move into the office, and the tenants have no say or choice.
ShareYourSpace, on the other hand, is the platform on which all offices and spaces that are not permanently occupied can be offered and booked: all locations, sizes, and equipment. With or without furniture. Whether a single desk, an office room or an entire floor. There are no restrictions regarding locations, and the platform does not only exist of high-priced coworking spaces but also includes desks and offices for individual use. The underlying principle of ShareYourSpace is the concept of sharing: Anyone can offer their non-permanently occupied space. ShareYourSpace is not a landlord, rather a platform to connect office space demanders with office space suppliers. We allow for short term and small-scale bookings, bringing much-needed flexibility into the office world.

Yes. ShareYourSpace support via our Space Guides is always free of charge. We help with registration, offer preparation, request and booking management, and answer all questions about ShareYourSpace. Costs of the platform
Does the use of the platform cost me anything as a host?
No. The use of the platform itself does not incur any costs.
Transaction fees only arise if a booking is successful: We charge the host (and only the host) 15% plus VAT of the booking amount. Read the full terms and conditions of ShareYourSpace here.
You could be charged for additional services by ShareYourSpace or our partners. However, they will be marked as liable to a separate charge.
Do I have to pay fees when accepting and hosting a guest?
For successful bookings, ShareYourSpace charges the host (and only the host) 15% plus VAT of the booking amount. The transaction fee is automatically deducted from the host's monthly payouts.
How are payments processed on ShareYourSpace?
We use the renowned online payment service Stripe to process payments on our platform. This enables us to offer various payment methods and guarantees the highest security standards throughout the entire payment process.
How will Stripe handle payment processing for hosts?
With Stripe, payment processing will be seamless and efficient. Once a booking is confirmed, Stripe will handle the transaction securely. You'll receive payments directly to your bank account linked with Stripe. The timing of payouts will be clearly outlined in your Stripe account dashboard.
How does Stripe integrate with the ShareYourSpace platform for providers?
To use Stripe, you need to register with Stripe or log in with an existing account. Stripe's integration with ShareYourSpace is designed for ease of use. You'll be guided through a simple setup process to link your Stripe account with ShareYourSpace. This one-time setup ensures that all future transactions are processed through Stripe without any additional steps on your part.
What security measures does Stripe use to protect financial transactions?
Stripe is committed to maintaining high-security standards. It uses state-of-the-art encryption and fraud detection tools to protect your financial data. All transactions are securely processed, ensuring that your and your guests' financial information remains private and safe.
Why do I have to provide my personal data and/or company data when using the payment service provider Stripe?
“Know Your Customer” (KYC) obligations for payments require Stripe to collect and maintain information on all Stripe account holders. These requirements come from the legal regulatory authorities and are intended to prevent abuse of the financial system.

Do I have to sign up to create offers?
Yes, you need an account to create and publish offers. You'll be able to create your profile, host your space, answer booking requests and contact guests via ShareYourSpace.
What should I pay attention to in my host profile?
Your prospective guests would like to know the host of the space they're booking. A complete detailed profile builds trust and increases the chances of your offer being successful. Describing your working environment and culture is especially important if you offer open-plan and coworking spaces where your guests share space with you and others.
Can I use the same account to offer and book spaces?
Yes, you can be a host and a guest using the same account.

Who can offer office space on ShareYourSpace?
Anyone with an office, conference room or other space they do not permanently need. Whether an owner or tenant, a company or an individual. Whether an administrator, hotelier or operator of coworking spaces.
ShareYourSpace is for everyone who would like to make better use of their underutilised office space: Regardless of location, size, and amenities. With and without furniture. Whether a single desk, an office room or an entire floor.
Which space categories and time periods can be offered on ShareYourSpace?
Offices as a complete unit, desks for individual bookings, as well as conference, training and meeting rooms. Time periods start with one hour and increase to one year.
Every space, every room, every desk, every office is the perfect solution for a specific need. And the requirements range significantly. For example, some might need an office close to a particular address, or for a large team, or on certain defined days. Some might want office space exclusively for their use, and others might prefer coworking spaces. The range is endless, and ShareYourSpace can help you find the right guests for your space.
Who are my potential guests?
Everyone who is looking for a temporary office and meeting space. Whether a start-up, a company in transition, project team or lone wolf.
These include self-employed or freelance professionals, consultants, startups, employees, coaches and teachers as well as organisations and companies from small businesses to international corporations that need rooms or representation for outsourced units, sales staff or project teams – or simply want to reduce the cost per square metre of their office space.
Can I get in contact with a prospective guest before a booking?
Yes, this is also advisable, especially for longer-term bookings, to clarify any questions before accepting the request.
You can also ask your prospective guest to introduce themselves in case their ShareYourSpace profile does not suffice. It is not uncommon for a guest to want to get to know their potential host (and vice versa) and the space in advance.
Do I have to provide extra services for guests?
No. You can, but you do not have to provide extra services for the space you offer. It's, of course, mandatory to allow your guest access to the office in the booking period.

Do I have to furnish unfurnished space to offer it?
No. It is not unusual for guests to bring their own furniture. However, spaces and rooms that are only available for a very short time should be furnished. The effort involved in bringing, assembling, dismantling and taking furniture back may not be in proportion to the booking period. If you offer desks or space that is "ready to work", these must have the minimum equipment needed to "get started immediately", unless otherwise noted in the offer description. By the way: ShareYourSpace and our partners will be happy to support and advise you or the guest with the furnishing.
What is included with a desk offer at the very least?
Chair, table, socket, light, and toilet facilities at the very least.
Does ShareYourSpace have its own available office space?
No, ShareYourSpace itself does not offer office space on the platform. ShareYourSpace always advertises space offered by third parties.
Do I have to prepare an invoice and utility bill for the guest?
When a guest books a Space, the booking is a legal agreement between the guest and the host. For this reason, ShareYourSpace cannot issue invoices for bookings. Please clarify with your guest and your accounting department whether an invoice is required and issue it as needed.
Incidentally, a rental agreement is also considered a standing invoice if it contains all the necessary invoice components in accordance with § 14 UStG.
A statement of operating costs is not necessary, as the booking price - unless otherwise stated by you - is a flat rate including operating costs.
Price of booking a space
Who determines the booking price for a space offer?
You, the host, as the provider of the space. We'll be happy to help you find the right price for your space, just send an email to spaceguide@shareyourspace.com.
What should the offer's booking price include?
The rental price chosen by you is an all-inclusive price, including VAT if you are charging VAT. If you only accept guests who are subject to VAT, please specify this in your offer.
The rental price also includes any amenities (e.g. furniture, internet, use of the coffee machine) and related services (e.g. cleaning). You must specify these in the offer and state that they are included.
You can specify various prices for different booking times – for example, one hour, one day, one week.
Should I ask the guest to pay a deposit?
That is your decision. A deposit can be a deterrent to prospective guests for short term and small-scale offers.
Booking and contracts
Is the booking insured?
Yes. Hosts and guests are automatically protected by ShareYourSpace and our partner AXA Insurance. With every booking, you are covered by a professional property and liability insurance, free of charge. To protect you in case of damage to inventory, theft or for example, loss of keys. Find the details at the bottom of this page.
What happens if a booking request is rejected or expires?
A booking request expires if you reject it or do not respond within 72 hours. At this point, no booking agreement has been completed, and neither your nor the guest will be charged for anything.
We encourage all hosts to keep availability up to date and to respond to requests promptly.
How is the contract finalised, and who are the contractual parties?
The contract is finalised when you accept and confirm the booking request from the guest. Under "Requests for my spaces" you will receive a summary containing information about the space, price, booking period and the guest's name or company name.
Your contractual partner is the guest whose request you have accepted. They are shown in the respective offer and booking. ShareYourSpace is not a party to any booking agreement.
Can I contact a prospective customer before making a booking?
Yes, this is also advisable, e.g. to clarify any questions before you accept the booking.
You can also ask your potential guest to introduce themselves if the ShareYourSpace profile is not informative enough. It is not uncommon for guests, especially those with longer-term bookings, to want to get to know their potential host (and vice versa) and the space personally in advance.
Do I have to sign a rental contract?
According to German law, a written form is only required for a rental agreement of 12 months or more. Even with shorter rental periods, you can arrange a written rental contract with the guest. Some hosts specify a rental agreement and may require a paper signature. You can attach relevant PDF documents to your offer.
ShareYourSpace does not provide a rental contract as it is exclusively a matter between the host and the guest.
Can I cancel a booking?
Yes, if you have specified cancellation options. Cancellation conditions, and cancellation costs that the guest has to pay if they cancel a booking must be shown in your offer. Costs for cancellations for which the host is responsible are based on the general terms and conditions of ShareYourSpace.
You can send a cancellation request to the guest at any time. To do so, retrieve the booking under "requests for my spaces" and contact the guest. To reverse the booking amount, please contact us.
What happens if a guest does not show up?
In the event of a no-show without prior cancellation, the guest is not entitled to a refund of the booking amount and must clarify the issue directly with the host. Should you agree to refund the guest, please contact us to reverse the booking amount.
How do I terminate a rental contract?
Unless otherwise agreed upon with the guest, fixed-term rental agreements – those with a defined end date of the rental period – end automatically without the need for a termination. Otherwise, in accordance with the rental agreement termination conditions agreed with the guest.
Is paper still a thing?
In principle, there is no longer any need for paper copies, since the booking process can be handled entirely via ShareYourSpace.
